Rescheduled at the Last Minute – How to Handle This?

Hi everyone,

I had an interview scheduled and confirmed through the recruiter, with all details and the MS Teams link provided. On the day of the interview, I joined the link at the scheduled time, only to be told at the very last minute that the interview had to be rescheduled because the order of interviews needed to change (I was supposed to meet with someone first, then another one)

I reached out to the recruiter afterwards, and she replied that she would “check and get back to me shortly.” However, it’s now been three days without any update.

Has anyone here faced a similar situation? How would you recommend handling it should I follow up again, and how soon, without sounding too pushy?

Hi there, first of all congrats on receiving the interview!!

I’ve seen situations like this before, and while it’s understandably frustrating, it’s not uncommon. Interviewers try their best to maintain the allocated time but last-minute changes can arise when interviewer availability or sequencing needs to shift due to client work

My advice would be to:

  • Follow up professionally: Three days without a response is a reasonable point to reach out again. A short, polite message is unlikely to come across as pushy — in fact, it shows proactivity and continued interest. If you don’t hear back after another 3–4 business days, it’s appropriate to follow up once more
  • Don't stress: you are in the pipeline for an interview and it will happen at some point. They might need to find another interviewer and gather their availabilities

Rescheduling can definitely happen sometimes. Interviewers will try their best to stick to the original slot but I've definitely seen it happen, especially if it's due to client work. 

I suggest you wait until the following week and follow up with HR regarding a new time if they still haven't gotten back to you. You're already in the pipeline to be interviewed and it will happen, so no need to be rattled by this. On the job as a consultant, loads of things move around and we're actually taught to not be rattled.

This happens more often than you’d think, and it’s usually just scheduling logistics on their side, not a reflection on your candidacy. Since it’s been three days, it’s completely fine to follow up once more, just keep it polite and professional, something like: “Just wanted to kindly check if there’s any update on the rescheduling of my interview. I remain very interested and flexible on timing.” That shows commitment without pressure.

If you don’t hear back after that, wait a few more days before nudging again. Persistence is fine as long as the tone stays positive.

Hi there, 

This is not ideal, but unfortunately it can happen sometimes, likely because the interviewer had urgent competing conflicts. 

This is nothing personal. What you can do is just give them time to sort things out, and meanwhile, use the extra time to prepare well. 

You can follow up by the end of week or early next week.

Yes, this kind of thing happens more often than people think—interviewer availability changes last minute, or they want to rearrange the order of interviews. It’s frustrating, but it’s rarely a reflection on you as a candidate.

Since it’s already been three days, I’d definitely follow up. A polite, professional nudge is perfectly fine—something like:

“Hi X, I just wanted to kindly follow up regarding the rescheduling of my interview. I remain very enthusiastic about the role and wanted to check if there are any updates on a new time slot. Many thanks in advance for your help.”

This keeps the tone positive, shows continued interest, and reminds them you’re waiting. Recruiters are used to follow-ups, so you won’t come across as pushy. If you don’t hear back in another 2–3 days, it’s okay to follow up once more.

Don't ask every day, but if 3 days have passed and you had no follow up it is fine to reply directly and ask for an update (and if they have non yet, when should you expect to have one).

Hi,

I would wait a couple of days probably ~1 week before following up again. 

Sometimes this happens because there is an urgent client meeting or a fire to put out.

The good news is - you have more time to prepare :)
